Email Forward or Redirect

You can ask for either an email forward or an redirect. Either feature will work even if your Colby computer account has been closed. Neither feature will store mail on Colby's mail server for future access. Forwards and redirects are mutually exclusive; you can have one or the other but not both.

The process of setting a forward or redirect is NOT automated. Your request will be reviewed and processed by the email administrator during normal business hours. Please plan ahead.

Email already on Colby's mail server will NOT be forwarded. For both technology and policy reasons we cannot forward already-delivered email. You will have to retrieve it yourself.

Colby Email Forward and Redirect Definitions

  • "Email Forward": All email sent to your Colby address is forwarded to another email address in some other domain. The sender has no knowledge that the email continued on to some other domain; from his point of view the email was delivered to a Colby address. The complete route of a forwarded email is from the sender's address to Colby's mail server, thence onwards to the forwarding address. No copy of the message remains on Colby's mail server.  If mail bounces because the forwarding address is non-working or other problems at the remote end arise, then the forward will be removed without notice.

  • "Email Redirect": All mail sent to your Colby address is returned to the sender with the message [User has moved, please try "newplace@newdomain.com"], where the email address you submit is displayed in the quotes. The sender has to note your new email address from the message and resend the email to that address for you to receive it. There is no email sent to the redirect address by Colby's mail server.

    If a Colby computer account is closed and no redirect is set, then email will be returned to the sender with the message "User unknown".

ITS Guidelines regarding Forwards and Redirects

ITS has specific guidelines on who may have either a redirect or a forward. The guidelines can be stated as two simple rules:

  • If you are leaving Colby then you may ONLY have a redirect.
          Redirects are kept in place for approximately six months after your departure date.
  • If you will be gone temporarily you may ONLY have a forward.
          A forward MUST have a specified ending date in the future.

    "Leaving" means that you are graduating, transferring out, or that your employment with Colby is terminating. The meaning of "gone temporarily" is somewhat more complex. For employees of Colby College, it means an approved sabbatical or extended leave of absence (e.g. vacation or medical leave). For students, it means that you are in good academic standing and that you will be off-campus for some KNOWN period of time (e.g. Jan Plan, gone for the summer, semester abroad). ITS will NOT forward email for anyone who is on-campus.
